Job Description
Position Title: Event Coordinator
Reports to: Director of Programming and K-16 Partnerships
Department:  Events
Exempt/Non-Exempt: Non-Exempt
Position Purpose
Under the direction of the Director of Programming and K-16 Partnerships, the Event Coordinator will assist with planning, execution, and logistics of all annual events. Key duties include: organizing, planning and executing events, set up/tear down of events, communicating with vendors and members, recruiting volunteers, adhering to budgets, ordering event materials and follow-up.
Essential Duties & Responsibilities: The Event Coordinator is responsible for the following specific functions and duties:
  • Organize, plan and execute projects and events initiated by the Fox Cities Chamber of Commerce.
  • Assist the Marketing Department with specific event materials when needed.
  • Ensure event and sponsorship details are met.
  • Comply with the constraints of the event budgets.
  • Prepare Jot Forms and surveys and record suggestions from the membership.
  • Assist in procurement of sponsorships and ensure sponsorship packages are being fulfilled.
  • Facilitate and collaborate with select event committees as required.
  • Attend Chamber events as assigned.
  • Attend board meetings as needed.
  • Maintain and update event details on the Chamber’s website and event pages.
  • Contact vendors for pricing and other event details.
  • Create event organizational tools and spreadsheets.
  • Other duties as assigned.
Position Requirements
  • The Event Coordinator must possess strong interpersonal, communication, organizational and computer skills.  This person must be self-motivated, have an eye for details, the ability to motivate volunteers and work well in a team environment.
  • This person should have a bachelor’s degree and/or 2-3 years of relevant event planning experience.
  • To successfully perform the responsibilities of this position, the Event Coordinator must possess a valid driver’s license, must be available for occasional early morning and evening meetings and events, must be able to work under regular, moderate levels of stress and must be able to regularly lift and move up to 10 pounds and occasionally lift and/or move up to 40 pounds.
